Privacy Policy

1. Scope and privacy officer

This policy explains how Mini-Entrepôts Sauvegarde handles the personal information of website visitors, people who contact our team and our customers.

2. Information collected

Depending on your interaction, we collect information needed to handle an inquiry, reservation, rental or payment: your name, contact details, identity verification information where required, unit selection, agreement and signature, communications, billing and payment history.

Card information is processed by our payment provider and is not intended for our advertising measurement tools. Access and security systems may process access codes, entry and exit logs, and surveillance images. Depending on your privacy choices, optional tools may process browser or advertising click identifiers, pages visited and the outcomes described below.

3. Sources and customer records

We collect information through forms, reservations, agreements and payments, and through phone, email or in-person exchanges. Cubby can connect an inquiry or reservation to a customer record and a later rental. This connection supports handling your inquiry and rental; it does not, by itself, authorize sending data to advertising platforms.

When call recording is used, notice is given at the start of the call explaining its purpose. Technical tools collect data according to the enabled features and applicable choices.

4. Uses and communications

We use necessary information to answer inquiries, manage reservations and rentals, collect payments, administer access, maintain security and meet legal obligations.

Service messages, such as confirmations and payment reminders, are separate from promotional communications. For promotional messages, we obtain the required consent and provide a way to unsubscribe. Permission to receive promotions is separate from cookie and advertising measurement choices.

5. Cookies and your choices

Cookies are small files placed on your device. Some technologies support website operation, security, sessions and payments. The website may also use the analytics and advertising measurement tools described below. Choices concerning these optional functions are separate from renting and promotional communications.

The privacy preferences panel is not currently active. To ask about the tools used or communicate a choice or withdrawal of consent, contact our privacy officer at confidentialite@minientrepotssauvegarde.com. Your browser settings can also limit certain cookies; they do not automatically delete information already sent to a provider.

6. Analytics and advertising attribution

With applicable consent, Google Analytics helps us understand website use. Google Ads and Meta may receive information used to connect an advertisement to an inquiry, reservation or rental and to measure or improve campaigns. This may include a click or browser identifier, event type, date, facility, a technical reference to prevent duplicate counting and, for a rental, the amount and currency.

If an inquiry leads to a rental several days later, the rental may be connected to the original advertising interaction and sent, subject to applicable consent, even when our team completes the rental. These transmissions may come from the browser or our processing system.

Contact details entered in forms, the text of communications, card information and the content of the agreement are not part of this measurement flow. These identifiers are not necessarily anonymous. Google and Meta process received data under their own policies.

7. Recipients

We do not sell your personal information. Providers supporting our services may receive information needed for their work: Cubby for records, reservations, rentals and communications; Stripe for payment; and hosting, technical support and communications providers for their respective services.

Google Analytics, Google Ads and Meta may receive the optional data described above according to your choices. We limit access and govern services in accordance with applicable requirements. Information may also be disclosed to authorities where required by law or in a business transaction when legal conditions are met.

8. Retention and security

We retain information for the time needed for the stated purposes and legal obligations. Rental records, accounting documents, communications, surveillance images and measurement identifiers do not all have the same retention period. Their retention depends on their purpose, applicable obligations and relevant system settings. You may request details from our privacy officer.

At the end of the applicable period, information is destroyed or anonymized in accordance with the law. Safeguards reflect the sensitivity of the information and include access limited to personnel and providers who need it, secure connections and incident management procedures.

9. Consent and withdrawal

We explain collection purposes and request required consent clearly and separately. Visiting the website, submitting a form or accepting the rental agreement does not constitute blanket consent to optional measurement or promotional messages.

You may withdraw optional consent by contacting our privacy officer. Withdrawal stops the relevant future uses according to the explained conditions; it does not automatically delete information already lawfully retained or information already sent to a recipient. Information needed for a rental or required by law remains subject to applicable rules.

10. Your rights and complaints

You may request access to and correction of your information and, where legal conditions are met, deletion, cessation of dissemination, de-indexing or provision in a structured, commonly used technological format. These rights have conditions and exceptions; deletion is not absolute where retention remains mandatory.

Send your written request to our privacy officer; we may verify your identity proportionately. Access and correction requests are handled within the statutory 30-day period.

You may also complain to our privacy officer or the Commission d’accès à l’information du Québec: cai.gouv.qc.ca. Where an incident presents a risk of serious injury, required notices are provided to affected individuals and the Commission.

11. Processing outside Quebec

Providers, including Cubby, Stripe, Google and Meta, may process information outside Quebec, including in the United States.

Before disclosing information outside Quebec or entrusting its processing there, we must carry out the required privacy impact assessment and govern the processing through a written agreement in accordance with the law. A feature involving a new transfer must only be enabled after these checks. Information processed abroad may be subject to the laws of those jurisdictions.

12. Minors and changes

Our services are not directed at children under 14. If you believe we hold information about a child under 14, contact our privacy officer so the situation can be reviewed and handled in accordance with the law.

Updates to this policy are published on the website with their date. Material changes are highlighted; where new consent is required, it is requested before the relevant use. A new policy does not retroactively authorize optional uses for which required consent was not obtained.
